The Afterlife For Data. What Happens to Critical Information in a Post EDRMS World?

Traditional records and information management is focused on the use of EDRMS systems, and primarily on ‘unstructured data’ – files, folders, images, videos, documents, spreadsheets, PII, financial records etc – that need to be maintained, stored, regulated and in some cases purged.

However, this information is only a fraction of the critical, risky or useful data an organisation is producing, storing and maintaining. The ‘structured data’ challenge is often not as simple to address. It poses the questions:

  1. What happens when all that data / information is sitting in a system that you no longer need or want?
  2. What happens when you wish to use or access information that’s originated in systems you no longer have access to?
  3. How to you demonstrate compliance and auditability when those reports and evidence are in a system you no longer need, want or have?
  4. How do you go from an EDRMS as an active repository strategy, to a usable archive that covers both structured and unstructured data?
